Job Description:
Status: Exempt full-time position 12-month work schedule
Wage Grade: 745
Reports To: Director of Finanical Aid
Overview:
The primary responsibilities of the Associate Director of Financial Aid include assisting the Director in ensuring that aid is packaged in a timely manner for both current and incoming students in order to meet the goals of the institution. The packaging should be compliant with all federal, state and institutional policies.The Associate Director should also be actively engaged in support of Admissions and the recruitment of new students as well as the support of all primary offices engaged with the retention of current students.
Job Duties:
- Maintain compliance with all policies tied to disbursement of student aid which will include coordination with other departments on campus including (but not restricted to) the Registrar's Office, the Dean of Students Office and the Business Office.
- Oversees the processing of FA Satisfactory Progress and withdrawal calculations.
- Manage the federal Pell Grant and Teach Grant programs, ensuring on-time packaging, disbursement, and monthly reconciliations.
- Coordinate the packaging and processing of ISAC (state aid) Golden Apple, Minority Teacher, and Dependents of Police/Fire/Corrections award funds.
- Collaborate with Admissions and IT staff to submit the weekly prospective student data file to Ruffalo Noel Levitz.
- Collaborate with Advancement staff to implement the AwardSpring scholarship management software to ensure timely awarding of endowed scholarship funding.
- Interfaces with students, employers, donors, and/or staff to resolve issues.
- Assist the Directors of Financial Aid and Athletics in the submission of the NCAA report.
- Other duties as assigned.
Supervisory Responsibility:
This position directly supervises at least one full-time professional staff person and acts as the director in their absence.
Education: Bachelor's degree required
Experience: Five or more years of demonstrated relevant work experience.

Work Environment: This job operates in a hybrid-remote office environment in accordance with institutional policy. This position may be based on our campus in Rock Island, IL or out of our Chicago-land office in Lombard, IL.
Physical Demands:
- Must be able to lift 15 pounds on a frequent basis.
- Also required is the ability to listen, hear, speak, read, write, climb stairs, bend, stoop, and stand for intermittently long periods of time.
- Must be able to use a computer to accomplish a variety of job tasks.
