The Office of Development and Alumni Relations seeks an organized and motivated professional to support the two teams: Donor Relations and Marketing and Communications. The incumbent will assist both teams with project management, data needs and resolving questions. Additionally, this individual will assist Donor Relations with gift acknowledgement letters and day-to-day operations. 1.Assist Donor Relations Team with gift acknowledgement letters
*Collaborate with writers to create template letters and suggested options for personalization
*Merge and prepare drafts, route for review and approval, coordinate feedback and revisions, print and mail, enter contact reports in donor database
*Ensure that acknowledgements are accurate and mailed within a best practice timeframe
2.Other duties may be assigned to support the day-to-day operations of the Donor Relations Program
*Assist with large projects and mailings
*Implement office procedures and systems
*Coordinate with vendors to order materials and/or manage technology
*Proofread communications, letters, reports, invitations, etc.
3. Support the Marcom and Strategic Messaging Team
*Provide ongoing administrative support (coordinating meetings, routing invoices, checking email accounts, etc.)
*Track requests and edits in calendar tracking tools; ensure communications calendars are kept updated
*Using project management tools, help ensure requests are reviewed by managers, converted to projects and assigned deadlines and communicated across the Team
*Download data from systems for analytic reports
4.Research and prepare data to assist with projects or activities
*Manage data needs supporting projects and activities by entering contact reports in donor database, updating individual donor and alumni communication plans, and ensuring donor and fund records are current
*Gather information about donors or beneficiaries from files or databases and summarize findings
*Prepare mailing, invitation and recognition lists by pulling information from donor database, formatting content and obtaining approval from staff and donors
5.Answer and resolve questions from alumni, donors and staff
*Monitor and respond to inquiries to central phone number and email (including both Donor Relations and Marcom accounts)
*Act as initial point-of-contact for staff with questions or requests
*Respond to questions from staff about basic processes (i.e., how to submit a design request, etc.)

The duties of this position may allow the employee to work partially remote as deemed appropriate by their supervisor
Periods of high volume/workload may be required to attend events; nights and some weekends
Qualifications
High school diploma or GED is required; Bachelor's Degree preferred
Three to five years related work experience
Excellent communication and interpersonal skills
Critical thinking and decision making
Results oriented
Technology savvy
Excellent organizational skills, time management and sound judgment
Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
